1. General Refund Principles

Pistang Pilipino sa Wellington 2026 is a large-scale community event involving extensive advance planning, venue preparation, council permits, supplier commitments, scheduling, equipment hire, logistics, staffing, and operational costs.

For this reason, certain payments, deposits, and fees may be non-refundable once confirmed.

Submission of a refund request does not guarantee approval.

2. Stallholder and Vendor Payments

Stallholder deposits are required to reserve event spaces, marquees, operational allocations, and council-related preparations.

  • 50% deposits are non-refundable
  • Late cancellations may not qualify for refunds
  • Failure to attend the event does not automatically qualify for reimbursement
  • Approved refunds may exclude administrative or transaction costs

If a stallholder fails to comply with event requirements, council regulations, safety requirements, or payment deadlines, the organisers reserve the right to cancel the booking without refund.

Stallholders are responsible for ensuring they can attend and operate during the event dates before confirming payment.

3. Event Registrations and Activity Fees

Registrations for sports competitions, cultural activities, workshops, pageants, performances, and other event-related activities may involve non-refundable administration and operational costs.

Refunds may not be granted for:

  • change of mind
  • personal scheduling conflicts
  • travel issues
  • illness after confirmation
  • failure to attend
  • incomplete participation
  • participant disqualification due to rule violations

Where exceptional circumstances apply, organisers may review refund requests individually.

4. Sponsorship Payments

Sponsorship payments support event operations, marketing, equipment, venue preparation, and programme delivery.

Unless otherwise agreed in writing:

  • sponsorship contributions are non-refundable
  • sponsor withdrawals do not automatically qualify for reimbursement
  • partially delivered sponsor benefits due to operational adjustments may not result in refunds

The organisers reserve the right to modify event schedules, layouts, programmes, and marketing plans where necessary.

5. Merchandise and Ecommerce Purchases

Selected merchandise or ecommerce purchases processed through event platforms may qualify for refunds or replacements where:

  • incorrect items were supplied
  • products arrive damaged
  • items are unavailable after purchase

Requests must be submitted within a reasonable timeframe after receiving the item.

Refunds may not be provided for:

  • change of mind
  • incorrect sizing selections
  • delayed shipping caused by third-party couriers
  • minor product variations

Approved refunds may be processed through the original payment method where possible.

6. Weather and Outdoor Event Conditions

7. Event Cancellation or Force Majeure

If the event is cancelled, postponed, interrupted, or significantly affected due to circumstances beyond reasonable control, including but not limited to:

  • severe weather

  • government restrictions
  • public health emergencies
  • venue closures
  • supplier failures
  • civil disturbances
  • infrastructure failures

the organisers reserve the right to:

  • retain part of payments already committed to operational expenses
  • offer partial refunds where possible
  • provide credits or transfers
  • reschedule activities
  • modify event arrangements

Refund eligibility in such situations will depend on actual unrecoverable operational costs already incurred.

8. Processing of Approved Refunds

Where refunds are approved:

  • processing times may vary
  • banking delays may occur
  • transaction fees may be deducted
  • refunds will generally be returned through the original payment method where possible

The organisers are not responsible for delays caused by banks, payment gateways, or third-party financial systems.

9. Chargebacks and Payment Disputes

Participants are encouraged to contact the organisers directly before initiating payment disputes or chargebacks through banks or payment providers.

Fraudulent or abusive chargeback activity may result in:

  • cancellation of registrations
  • suspension from event participation
  • legal recovery of unpaid fees
  • restriction from future events

10. Transfer of Registrations

In some cases, registrations or stallholder spaces may be transferable to another approved participant with prior written approval from the organisers.

Transfers:

  • are subject to operational feasibility
  • may require administrative fees
  • must comply with event eligibility requirements
  • are not guaranteed

11. Organiser Discretion

All refund decisions remain at the reasonable discretion of Pistang Pilipino sa Wellington 2026 organisers and Streams of Life Charitable Trust.
